All of the PC’s that are currently in use throughout the company have sufficient resources to perform adequately, but keeping our employees operating efficiently is of vital importance. The IT department will replace computers on a scheduled interval that is based on a “computer refresh policy”. This policy measures the computer’s usable lifecycle based on the original date of purchase.
The current renewal cycle:
- Laptops: 42 months
- Desktops: 60 months
- Kiosks and SAP Workstations and other single-function Desktops: IT Discretion

Today, most individuals that connect while out of the office on their company laptop, are connecting solely to get their company email.
All Nutramax laptops also have VPN Software installed on them, to enable remote access to Network Drives and other protected systems.

Data files that are located in the Desktop, Documents, and Pictures folders on the hard disk of your computer, drive "C", are backed up through the OneDrive application. The Downloads Folder is NOT backed up through the system. If you are unsure if OneDrive has been setup on your system, search for the application and launch it and follow the prompts or reach out to the Help Desk.. Any files that you keep on a network drive: H (HOME), or S (SHARED) are backed up every 4 hours and can be restored in the event that a file is deleted. All company email will be retained for a period of 1-year. Some of your emails are “cached” locally on your computer, with the entire 12 month period being stored “in the cloud”. If your computer were ever lost, stolen or corrupted, all of your emails could be retrieved from the cloud server.

In order to protect you and our corporate electronic environment, we have taken precautions to prevent SPAM and other email threats. SPAM, can also contain computer viruses that once opened, could infect the integrity and accessibility of corporate data.
We utilize a third-party product, Sophos Spam Filter, to filter all of our incoming email from known electronic email threats.
We also leverage Microsoft Defender to offer another layer of email protection, and all email is also filtered through this service as well.

We utilize a third-party product, Sophos Web Filter, to protect us from the threats of harmful and inappropriate Internet content. This software will only allow access to web content that has been deemed appropriate for our business. It is also completely customizable, allowing us to either allow or disallow access to websites. Please refer to the Human Resources policy on Internet use in the office.

Sophos Central Endpoint Protection protects Nutramax computers and servers from various cyber threats, including malware, ransomware, and zero-day attacks. We subscribe to their Managed Detection & Response (MDR) service. Sophos Central MDR is a fully-managed, 24/7 cybersecurity service that provides threat hunting, detection, and response. Sophos MDR combines human experts with advanced technology to continuously monitor, investigate, and neutralize threats across endpoints, networks, cloud, and email.

Halcyon anti-ransomware is a dedicated platform that provides endpoint protection and rapid recovery from ransomware attacks by detecting, preventing, and automatically recovering systems without relying on backups.

In addition to Sophos Endpoint Security and Control, we also utilize a Firewall to protect our network. The firewall scans incoming and outgoing data for viruses, blocks unnecessary TCP/IP ports, and scans for and blocks well-known Spyware applications usually downloaded from web pages.

When traveling abroad it is necessary to inform the IT Department if you will need to access your email or other Nutramax systems during your trip. If you will only need access to your email via your cell phone:
- Please submit a ticket to the Help Desk (link to specific Service Request). Make sure to include the dates and location(s) for your visit. The IT Department will grant temporary access to your email through your cell phone during these dates.
If you will need to access emails and other documents through your computer:
- Please submit a ticket to the Help Desk (link to specific Service Request). Make sure to include the dates and location(s) for your visit. Please make sure you include any countries you will be traveling through where you require VPN Access, so the appropriate access can be granted. The IT Department will grant temporary access to your email through your cell phone and will also grant rights to connect to the VPN during these dates.
